This position provides faculty assistance to Pasadena and Fuller SIS and SOT online adjunct and affiliate faculty (up to 30-40 per quarter) with tasks related to their teaching and preparation of course materials.

Essential Functions

  • Assist with developing and maintaining communication with adjunct and visiting faculty regarding academic practices and policies
  • Communicate deadlines for the submission of course materials to Academic Programs Office (APO) so that they may be distributed to students in a timely fashion
  • Maintain quarterly updates to the APO websites, includes recording and editing of training videos (faculty, TA, etc.)
  • Update adjunct fact sheets; maintains adjunct fact sheets website
  • Review the tally for the upcoming quarter and compare it to the faculty/course information in iCare, and make adjustments/additions when necessary in preparation for contracts
  • In the absence of the Coordinator, receive syllabi from adjunct faculty in order to provide both editing and quality control
  • Quarterly submission to the Library of course reader bibliographies into the Fuller eReserves system, as well as ECD non-required book requests for the Reserve Shelf
  • Provide occasional training to adjunct and visiting faculty and TAs for in Moodle, Fuller’s website, and our APO faculty website
  • Assists with quarterly training of teaching assistants
  • Coach and provide one on one technical support to faculty of both SOT and SIS, as needed
  • Submit special classroom set-up and media requests for faculty
  • Order office supplies
  • Creates requisitions for faculty expense reimbursements, and assists in monitoring budget docs
  • Filing and file maintenance
  • Run errands on campus as needed
  • Receive quarterly adjunct course evaluations after they’ve been tabulated; prepare for distribution
  • Act as receptionist for the office, answering phones and greeting those who come to the office for information or appointments
  • Provide office support by handling mail, filing, copying, etc.
  • Assist with adjunct and visiting faculty hospitality

Secondary Functions

  • Assist with projects from the Director of Academic Planning, Executive Director of the Academic Center, or Academic Dean as needed
  • Assist APO staff with presentations as needed


  • Bachelor of Arts required
  • Minimum three years work experience in an office setting
  • Good typing skills (50 wpm)
  • Proficiency in Microsoft Office (particularly Excel) and Google Docs
  • Knowledge of, or ability to be trained in FileMaker Pro, Power Point, Moodle, and iMovie
  • Excellent interpersonal communication skills, both orally and written
  • Capacity for managing multiple tasks and attention to detail
  • Responsible for maintaining a high degree of confidentiality
  • Attention to detail, accuracy, and efficiency
  • Able to pick up and transport up to 30 pounds
  • Able to work independently

Special Requirements

Must be eligible for Federal Work Study. Federal Work-Study positions are open only to qualified U.S. Citizens and permanent residents whose eligibility to participate in the Work-Study program has been determined in advance by the seminary's Student Financial Services office


Work schedule is somewhat flexible and open to negotiation quarterly in reference to the student’s class schedule, hours will be arranged in relation to the needs of the office
