Description

The Operations Manager is an integral part of the Fuller Texas team who ensures the successful logistical operation of Fuller’s Texas Regional Campus. Areas of responsibility include finance, operations, administration, development support, professor support, and reception.

Essential Functions

Finance

  • Works with the Regional Director in developing the Fuller Texas annual budget
  • Manage the Fuller Texas budget by reviewing monthly budget status reports for accuracy and monitoring overall spending patterns
  • Review budget with Regional Director on a monthly basis and create plan for addressing any problem areas
  • Handle financial transactions for Fuller Texas: maintain petty cash, process bills through Accounts Payable, submit cash deposits, process cash reimbursements, process reclassification of credit card bills, review phone bills, etc.
  • Research and purchase office equipment and supplies
  • Meet with vendors to negotiate supply discounts and with hotel sales staff to negotiate favorable lodging rates
  • Collaborate with the Academic Programs Office in regard to adjunct faculty expenses

Operations

  • Serve as liaison between Fuller and the property management company to ensure smooth operation of the building on a day-to-day basis
  • Maintain the classrooms and library, checking them daily to ensure adequate supplies and orderliness
  • Maintain Fuller Texas calendars ensuring all events are properly recorded and that classrooms are properly reserved
  • Oversee the maintenance of office machines and related supplies
  • Maintain office and classroom supply inventory
  • Complete and submit facility requests for after-hours use of the building

Administration

  • Serve in support role for the Fuller Texas Advisory Board and the Texas Theological Foundation Board
  • Work with the Regional Campus Events Administrator and Director of Development for Texas to oversee support staff and logistics for all regional campus events
  • Assist with mailings and correspondence as needed
  • Provide staff support for Scholarship Committee for Fuller Texas
  • Receive and maintain records related to the Texas Theological Foundation scholarship
  • Process new hire approvals, position status changes, position reclassifications, and terminations with the Office of Human Resources

Development Support

  • Assist with development related tasks including but not limited to correspondence, bulk mailings, database management, and reporting
  • Assist with fundraising event planning and coordinating
  • Oversee creation of publications that increase awareness among donors and donor prospects

Professor Support

  • Provide support to faculty and adjunct professors including coordinating classroom needs in conjunction with the Regional Director and Academic Dean
  • Ensure professors’ facility-related needs are met such as providing classroom keys and technology set-up
  • Prepare materials for each first class meeting including but not limited to name cards, rosters, and handouts
  • Inform Professors about Copyright policies and direct them to appropriate Copyright resources
  • Work with Distributed Learning to ensure adjunct professors receive appropriate training in using Fuller’s online learning platform
  • Coordinate efforts to ensure appropriate classroom set up for each class session
  • Make travel arrangements for professors and process any expense reimbursements

Secondary Functions

Reception

  • Receive/direct phone calls and greet guests in a pleasant and effective manner
  • Manage incoming/outgoing postal mail and deliveries
  • Maintain an orderly and welcoming reception area
  • Monitor the supply and ensure the accuracy of printed materials including stationery and other publications
  • Other duties and responsibilities as assigned by the Regional Director

Requirements

  • A bachelor's degree required; MA preferred
  • Three to five years office/administrative experience
  • Experience and knowledge of business, organizational, operational, and development management
  • Demonstrated ability to exercise independent judgment and leadership in day-to-day operations
  • Outstanding organizational skills, an attention to details and the ability to multi-task
  • Problem solving and project management skills
  • Excellent oral and written communication skills
  • Strong computer skills, e.g., experience with word-processing, spreadsheets, database, etc., and knowledge of Macintosh computers; software programs including Microsoft Word, Excel, & PowerPoint, FileMaker Pro
  • Proficiency with the mail merge process involving multiple databases
  • Ability to diagnose and troubleshoot common problems
  • Must be able to work as part of a team
  • Must be able to lift up to 25 pounds
