Collection Management Assistants (CMA’s) work to ensure patrons receive the information and materials necessary for successful studies. They work to maintain the collection by labeling, sorting, shelving, and retrieving materials. They assist patrons at the circulation desk by assisting in checkout of materials and answering questions. CMA’s may also be called on to provide basic computer support to patrons.

Essential Functions

Resource Management

  • Check in materials that have been returned by patrons and prepare them for reshelving
  • Shelve materials in a timely manner so they are available for patrons
  • Page materials from restricted access and storage collections
  • Conduct periodic shelf reading to ensure proper placement of materials
  • Label materials in accordance with guidelines established by preservation librarian
  • Check shelves for missing books and assist Access Services Coordinator in creating missing, lost, and in-transit reports
  • Shelf-read the collection
  • Assist the Access Services Coordinator in preparing and maintaining quarterly reserves

Customer Service

  • Provide hospitality to all Hubbard Library visitors and patrons
  • Serve as a patron resource at the IAS desk answering questions, assisting in checkout of materials, and checking out/in periodicals, reserves, and microfilm
  • Provide basic Research help and services
  • Provide service for the scanners and printers
  • Provide guidance to patrons regarding access to SCATLA and SCELC consortia libraries
  • Keep detailed statistics
  • Assist the Library's Computer Lab technician with upkeep of the public scanners
  • Assist the Research department with patron training of the Microfilm machine

Secondary Functions

  • Assist Inter-Library Loan Technician by preparing mailings, retrieving requested material, and copying/scanning desired materials
  • Basic computing and printing support according to service level agreement
  • Other duties as assigned


  • Bachelor's degree preferred
  • Library experience preferred
  • 1-3 years customer service is required
  • Familiarity with Library of Congress system is desired
  • Must be able to sort alpha-numerically
  • Competency in basic computer support is desirable
  • Experience with Word and Excel preferred
  • Able to push loaded book carts (maximum about 300 lbs.)


Schedule Flexibility

  • Part-time CMA’s must be available to work primarily on Saturdays, evenings, and some holidays
  • The CMA position requires employees to be available to sub for colleagues during various Library shifts on a weekly basis—at the time of hire, the CMA will submit a list of “on-call” times available
  • CMA's must be available for weekly staff meetings
