Office Assistant

Exempt Status: Non-Exempt
Hours: 20 to 24 per week
Reports To: Interim Facilities Director
Summary:
The Office Assistant is responsible for providing data entry and general office support for the Building Services Department. The Office Assistant's tasks are to close work orders, process invoices, and create work orders for the preparation of Vacant Priority Rentals. The Office Assistant may be assigned special projects that support the essential functions of the department such as creating or updating manuals, or provide assistance and back up to the office staff.

Essential Functions:
  • Work order data entry
  • Process invoices
  • Organize, file, and maintain documents, photos, and procedure manuals
  • General office organization
  • Actively participate in weekly staff meetings
  • Provide support on special projects


Secondary Functions:
  • Provide back up for office staff
  • Back up on answering phones and email
  • Back up on providing customer service to students, staff, and vendors
  • Other duties as assigned


Knowledge & Skills Requirements:
  • AA degree or equivalent
  • 2-3 years customer service experience
  • 3 or more years in an office environment
  • Microsoft Word and Excel proficient
  • Friendly and out-going
  • Professional appearance and demeanor
  • Customer service skills; polite and diplomatic in a diverse setting
  • Data entry and typing accuracy and speed
  • Detail oriented
  • Organizational skills
  • Filing
  • Self-starter
  • Must be able to work independently and as a team member
  • Must be able to follow verbal and written instructions
  • Flexible and adaptable
  • Must be able to work on multiple projects


Notes:
  • This position is expected to work four hours a day, Monday through Friday
